Communication with Members
Calling/Texting
You can call any member who has not opted out of being called.
You can text any member who has opted in for texting.
CallHub offers a group texting service that can be set up within the DA account, or you can text from your own telephone using regular SMS.
Do NOT use WhatsApp for DA communications; it is not GDPR compliant because it actively collects and sells metadata about its users (e.g., location, groups, demographics, etc.)
Emailing Rules
All email addresses are confidential.
Always email members from their records or from the Broadcaster.
Always ask your members to contact DA through the official DA email address associated with your chapter or caucus. You may reply from either your personal email address or your official DA email (---@democratsabroad.fr). It’s recommend, however, that you don’t use your personal email account for DA work if possible.
Unsolicited emails
Unsolicited emails are emails that are initiated by DA, such as email blasts (e.g., newsletters or voter alerts) or individual email to members (e.g., welcome, verification and update questions). The ONLY exception to this rule is if the member is a close friend or relative; in that case you can contact them with your personal email address.
Always send unsolicited emails from the database so that the email is branded and members can easily identify the email source. This also ensures that emails are only sent to current members, and not people who have changed their minds about membership - in DA, or your caucus. If you have any questions about this, ask your IT liason (if you have one) or contact the IT Team at (helpdesk@democratsabroad.org). DO NOT just go ahead and send emails first and ask about it later.
Keep your Members informed about relevant issues, but be careful not to inundate them with messages. We know from our own experience that people receive a lot of political messaging. We want to avoid the dreaded Email Fatigue that leads some to unsubscribe from all DA mailings.
Caucus mailings
Global-level caucus mailings must be sent from the Global Caucus Broadcaster - no more than two per month.
Country-level caucus mailings should be sent from the country chair or communications officer via the Country Broadcaster in order to be GDPR compliant - no more than two per month.
If more than two caucus communications are required in a month, contact the Global Caucus Coordinator or the Int'l ExCom regarding the timing of the email.
Social Media Communication
You can answer any questions received on social media platforms, such as, Facebook or Facebook Messenger, Tweets or comments on Twitter, or Instagram.
You can freely communicate with members WITHIN Slack. However, don’t use Slack as your primary method of communication with members.
NEVER add any information that you see on social media to NationBuilder. That includes Facebook, Twitter or Instagram names, etc.
NEVER add members email addresses to Slack in order to invite them all.
